Location: On-Site 5 days per week | Arlington, VA

Our client is a rapidly scaling cybersecurity and defense technology innovator that partners with governments and enterprises worldwide. As the right hand to the CEO and CFO, you will run point on headquarters operations while orchestrating high-impact executive support. This is a ground-floor leadership role for someone who loves building structure out of ambiguity, elevating the in-office experience for VIP visitors, and keeping fast-moving executives two steps ahead.

What You’ll Tackle

• Strategic Executive Partnership – Own complex calendars, draft polished correspondence, brief executives ahead of key meetings, and manage highly detailed global travel agendas.
• HQ Operations Leadership – Ensure a seamless, professional office environment: oversee vendors, facilities, budgets, supply inventories, and health & safety compliance.
• VIP Events & Travel Program – Plan and execute board-level meetings, ministerial visits, and off-site conferences. Administer and continuously improve the corporate travel policy while managing visas, reimbursements, and logistics.
• Cross-Functional Project Support – Track budgets, organize digital and physical records, and shepherd special projects to completion in partnership with Finance, HR, and Communications teams.
• Culture Champion – Serve as the welcoming face of the headquarters, fostering a high-touch candidate and guest experience that reflects the company’s global brand.

What Makes You a Fit

• 3–5 years in a combined office management, operations, or high-level EA role supporting C-suite leaders.
• Track record coordinating international travel and events for senior stakeholders; French-English bilingual skills strongly preferred.
• Mastery of modern office tools (Google Workspace or M365), plus proven ability to create processes from scratch and juggle shifting priorities with grace.
• Polished written and verbal communicator who can represent executives with discretion and poise.
• Willing to work on-site 4+ days per week and accommodate occasional off-hours collaboration across time zones.
